ChatFrom

HubSpot

Updated

Your chatbot saves every lead as a contact in your HubSpot, with a note of what they asked and a link to the conversation. Setting it up takes about a minute: you sign in to HubSpot and approve ChatFrom.

What it does

  • Collects the details: when a visitor wants to be contacted or asks for a quote, the chatbot asks for their email, and their name, phone and company when they are useful.
  • Confirms them with the visitor once, then saves one contact for that request.
  • Leaves your contacts as they are: a visitor whose email is already a contact is not saved twice, and that contact is not changed, since anyone can type an email. What they gave goes in the note instead, marked as not verified. A detail they add later in the same conversation goes on the contact it saved.
  • Leaves a note on the contact with what the visitor asked and a link to the conversation in your dashboard, so whoever follows up can read what was said.

It only saves contacts and notes. It never reads a contact back to a visitor, and it cannot change anything else in your HubSpot.

Connect it

  1. Open your chatbot and go to Tools. Under Connections, tap + on HubSpot.
  2. Press Connect HubSpot, sign in, and choose the HubSpot account your leads should go to. A free HubSpot account works. You need to be a super admin of that account to approve an app.
  3. HubSpot shows what ChatFrom asks for: to find, add and update contacts. Approve it. While ChatFrom's app waits for HubSpot's review, HubSpot warns that it is not verified yet and asks you to type "I accept the risk".
  4. Back in ChatFrom, Save leads as contacts is on, and the card shows the account, with a link to its contacts.
  5. Press Try it at the top of the page and say "I'd like someone to contact me about pricing", give a name and an email, and look for the contact in HubSpot.

When a contact is saved

On the card, Save a contact when says it in your own words, for example "a visitor asks for a demo". The chatbot follows it: it does not save a contact for a question it can simply answer, and it saves one contact for one request.

If your chatbot can also hand off to a person, a request to be contacted is saved to HubSpot, not handed off. It hands off as well only when the visitor needs a person in that conversation, or when it cannot help. With Google Sheets connected too, a request is saved in both.

In a workflow, the ready-made path Save a contact sends those messages straight to the step that saves them, and a Tool Call step can name hubspot_save_contact itself.

What stays safe

  • ChatFrom asks HubSpot only for contacts: it cannot see your deals, tickets, emails or anything else there.
  • Your sign-in is stored encrypted and is never shown again, to you or anyone else.
  • What a visitor types goes into the note as plain text, so it can never become a link or a script in your HubSpot.
  • One conversation can save 5 contacts an hour and your chatbot 120, and the same details are saved once, so nobody can fill your CRM.

If ChatFrom is uninstalled from your HubSpot account, or the sign-in expires, the chatbot stops saving and offers visitors a hand-off, and the card asks you to connect again. To stop, switch Save leads as contacts off, or press Disconnect. The contacts and notes stay in HubSpot. To remove ChatFrom from your HubSpot account as well, uninstall it there under Connected apps. What else a chatbot can connect to is on the Connections page.
