Calendly

Your chatbot offers a visitor the free times of your Calendly event types and books the one they choose. Setting it up takes about two minutes: you make a personal access token in Calendly and paste it into ChatFrom.

What it does

  • Offers your free times: when a visitor wants a meeting, a demo or an appointment, the chatbot reads what is free in Calendly and offers a few times, in your time zone or the visitor's when they say where they are.
  • Books the one they choose: it asks for their name and email, confirms the time once, and books it in your calendar, with your event type's own meeting place.
  • Leaves the confirmation to Calendly: the visitor gets Calendly's own confirmation email, with its links to move or cancel the meeting.

The chatbot does not move or cancel a meeting itself. It tells the visitor to use the links in that email, which work for them alone.

On Calendly's Free plan

Calendly lets an app book a meeting only on its paid plans (Standard and above). On the Free plan the chatbot still offers your free times, and when the visitor has chosen one, it gives them a link to that exact time on your Calendly page, with their name, email and topic filled in. They press confirm there, and the meeting is booked as if they had found your page themselves. The card under Tools says so from the moment you connect.

In Calendly

  1. Open Integrations, API and webhooks and generate a personal access token.
  2. Name it ChatFrom. If Calendly asks which permissions it has, tick users:read, event_types:read, availability:read and scheduled_events:write.
  3. Copy the token. It is shown once.

In ChatFrom

  1. Open your chatbot and go to Tools. Under Connections, tap + on Calendly.
  2. Paste the token and press Connect Calendly. The card shows your account and lists your event types. A token that cannot read your account, event types or free times is refused now, naming the permission it lacks. One without scheduled_events:write connects, and the card says visitors will confirm their time on Calendly until you make a token with it.
  3. Tick the event types the chatbot may book. All of them are ticked to begin with, but for a secret one and a team's, whose meetings may go to colleagues: those wait for you to tick them.
  4. Try it in the Playground: say "Can I book a demo next week?", pick one of the times, and give a name and an email.

Your event types

  • Your rules stay yours: working hours, buffers, notice and limits are Calendly's, and the chatbot only ever offers a time Calendly says is free.
  • Your questions: what the visitor would like to talk about goes to your booking form's question about the meeting, such as Calendly's own “Please share anything that will help prepare for our meeting.” A required phone number is asked for, and so is the visitor's number for a phone call you make.
  • Not offered: an event type that takes payment, is a meeting poll, lets the visitor choose where to meet, or requires an answer the chatbot cannot give, such as a company name. The card shows these with the reason.

After you add or change an event type in Calendly, press Reload event types on the card. In a workflow, the ready-made path Book a meeting with the Calendly mark works as the Cal.com one does: it says when you are free, shows the times that fit the visitor's answer as buttons, and asks for their name, email and topic before it books, and their phone number when an event type you ticked needs one; tick one later and the editor tells you to add the path again so it asks. A Tool Call step can name calendly_hours or calendly_slots itself.

What stays safe

  • Your token is stored encrypted and is never shown again, to you or anyone else.
  • The chatbot can only book the event types you ticked, at times Calendly itself says are free.
  • Nobody can move or cancel someone else's meeting through the chatbot: it cannot do either.
  • One conversation can book 2 meetings an hour, one email address can be booked 3, and your chatbot 30 an hour and 100 a day, through Calendly. Keep one calendar's booking tools on, Cal.com's or Calendly's: the Tools page warns when both are, and a workflow books through one.

To stop, switch Booking tools off, or press Disconnect to delete the stored token; then delete the token in Calendly too. Meetings already booked stay. What else a chatbot can connect to is on the Connections page.
